The participant information can include logins, details used to seed the questionnaire, as well as email addresses and seeding used to send email invitations. \n<\/p>\n\n\n\n<p>\n  Creating a database link lets you\n<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\n    provide the participants\u2019 names and email addresses\n  <\/li>\n\n\n\n<li>\n    set up a requirement to login and seed the survey with participants\u2019 login data\n  <\/li>\n\n\n\n<li>\n    seed the questionnaire with participants\u2019 data\n  <\/li>\n\n\n\n<li>\n    create email invitations and reminders\n  <\/li>\n<\/ul>\n\n\n\n<p>\n  Database links are created using the database link wizard.\n<\/p>\n\n\n\n<p>\n  There is initial setup that is necessary for all database links. \n<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><a href=\"#post-8471-_Creating_the_participant\">Create the participant data file<\/a> with the correct data. This may be a database or data file, such as a CSV or Excel file.\n<\/li>\n\n\n\n<li><a href=\"#post-8471-_Creating_the_database\">Create the database link<\/a>\n<\/li>\n\n\n\n<li><a href=\"#post-8471-_Selecting_the_participant\">Select the participant data file<\/a>.\n<\/li>\n<\/ol>\n\n\n\n<p>\n  There are several options available for linking participants following the initial setup stages.\n<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><a href=\"#post-8471-_Sending_email_invitations\">Sending email invitations only<\/a> with the option to seed the email invitation \n<\/li>\n\n\n\n<li><a href=\"#post-8471-_Using_Logins_only\">Using Logins only<\/a> with the option to seed the questionnaire <\/li>\n\n\n\n<li><a href=\"#post-8471-_Using_Logins_and\">Using Logins and sending email invitations<\/a> with the option to seed both the email invitation and the questionnaire\n<\/li>\n<\/ol>\n\n\n\n<p>\n  Following the database link set up you need to <a href=\"#post-8471-_Running_the_database\">run the database link<\/a> to upload the participant data to the survey.\n<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><a id=\"post-8471-_Creating_the_participant\"><\/a>Creating the participant data file<\/h2>\n\n\n\n<p>\n  What you need in your database (for seed data, email invites and\/or logins)\n<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><p><strong>To send emails<\/strong>\n<\/p><\/td><td><p><strong>To login participants<\/strong>\n<\/p><\/td><td><p><strong>To seed data into your survey<\/strong>\n<\/p><\/td><\/tr><tr><td><p>\n  A unique email address for each respondent\n<\/p><\/td><td><p>\n  A unique login for all participants (this can be their email address)\n<\/p><\/td><td><p>\n  A database field for each survey variable that you want to load with data\n<\/p><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>\n  This table shows the required elements for each database record for the different operations.\n<\/p>\n\n\n\n<figure and password data used for participant logins\n  <\/li>\n\n\n\n<li>\n    two columns that contain seed data, First name and Age (from a single choice age range question)\n  <\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><a id=\"post-8471-_Creating_the_database\"><\/a>Creating the database link <\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>   Open the survey in\u00a0<strong>Snap XMP Desktop<\/strong>. <\/li>\n\n\n\n<li>\n  Click&nbsp;<strong>Database Links<\/strong>&nbsp;\n  <img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"27\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2022\/12\/word-image-8471-6.png\" class=\"wp-image-8477\">\n  &nbsp;on the toolbar or select&nbsp;<strong>File | Database links<\/strong>&nbsp;to display the&nbsp;<strong>Database Links&nbsp;<\/strong>dialog box.\n<\/li>\n\n\n\n<li>\n  Click&nbsp;<strong>New<\/strong>&nbsp;to create a new database link. The&nbsp;<strong>Database Linkage Wizard<\/strong>&nbsp;is displayed.\n<\/li>\n\n\n\n<li>\n  Select the&nbsp;<strong>Online Invites\/Logins\/Seeding<\/strong>&nbsp;radio button as the&nbsp;<strong>Linkage Type<\/strong>. There are two choices depending on the format in which your data is stored. \n\n<ul class=\"wp-block-list\">\n<li>Click&nbsp;<strong>Select Database File<\/strong>&nbsp;and browse to the Excel or MS Access file containing the participants\u2019 data. This needs to include a unique id, such as a username or login id.   <\/li>\n\n\n\n<li>Click&nbsp;<strong>Build Data Link&nbsp;<\/strong>to build a link to an Oracle or SQL Database containing the participants\u2019 data. If you wish to filter the participants so that this survey is only available to some members of the database, set an appropriate filter in the&nbsp;<strong>Where condition&nbsp;<\/strong>box. Click&nbsp;<strong>Next<\/strong>.\n<\/li>\n\n\n\n<li>The next step depends on the options required for the survey<a id=\"post-8471-_Sending_email_invitations\"><\/a>.
