{"id":4264,"date":"2021-03-08T17:18:30","date_gmt":"2021-03-08T17:18:30","guid":{"rendered":"https:\/\/www.snapsurveys.com\/support-snapxmp\/?post_type=epkb_post_type_1&#038;p=4264"},"modified":"2023-10-04T10:53:40","modified_gmt":"2023-10-04T09:53:40","slug":"removing-an-individuals-information-held-in-snap-xmp","status":"publish","type":"epkb_post_type_1","link":"https:\/\/www.snapsurveys.com\/support-snapxmp\/snapxmp\/removing-an-individuals-information-held-in-snap-xmp\/","title":{"rendered":"Removing an individual\u2019s information held in Snap XMP"},"content":{"rendered":"\n<p>\n  There may be situations that require you to amend data relating to a survey participant in your Snap XMP data, for example when an individual exercises their right to erasure as part of GDPR compliance.\n  <br>\n  The participant data held in Snap XMP that you need to remove includes:\n<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\n    the participants\u2019 submitted response data\n  <\/li>\n\n\n\n<li>\n    the participant details used for the email invitations and survey login information\n  <\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Removing submitted responses held within the survey<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Removing in Snap XMP Desktop<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>   In <strong>Snap XMP Desktop<\/strong>, open the <strong>Survey Overview<\/strong> window   <img decoding=\"async\" width=\"26\" height=\"26\" class=\"wp-image-4265\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/surveyoverviewicon-png.png\" alt=\"SurveyOverviewIcon.png\">   . <\/li>\n\n\n\n<li>\n  Select the online or offline survey that you need to amend, and open by pressing <strong>Enter<\/strong>. If required, you can synchronize your survey responses by clicking <strong>Synchronize Responses<\/strong> \n  <img decoding=\"async\" width=\"37\" height=\"29\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/15-synchronizebutton1-png.png\" class=\"wp-image-4267\" alt=\"15.SynchronizeButton1.PNG\">\n  on the main Snap Toolbar.\n<\/li>\n\n\n\n<li>\n  Open the <strong>Data Entry<\/strong> window\n  <img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataentryicon-png-6.png\" class=\"wp-image-4268\" alt=\"DataEntryIcon.png\">\n  .\n<\/li>\n\n\n\n<li>\n  Find the responses associated with the participant. Use <strong>Filter Cases<\/strong> to help you find any responses from the participant.\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"561\" height=\"93\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataentryfilter-png.png\" alt=\"Filter the data responses\" class=\"wp-image-4269\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataentryfilter-png.png 561w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataentryfilter-png-300x50.png 300w\" sizes=\"(max-width: 561px) 100vw, 561px\" \/><\/figure>\n\n\n\n<ol class=\"wp-block-list\" start=\"6\">\n<li>\n  Use the delete icon \n  <img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/deletesurveyicon-png.png\" class=\"wp-image-4270\" alt=\"DeleteSurveyIcon.png\">\n   to clear the response data for that case (the record will show as a deleted case).\n<\/li>\n\n\n\n<li>\n  For offline surveys you may have archive files; you can update them by overwriting the archived data. In the <strong>Survey Overview <\/strong>window, select the survey and click <strong>Archive Survey<\/strong>\n  <img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/archiveicon-png-1.png\" class=\"wp-image-4271\" alt=\"ArchiveIcon.png\">\n  .\n<\/li>\n<\/ol>\n\n\n\n<p>\n  <img loading=\"lazy\" decoding=\"async\" width=\"370\" height=\"159\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/archivedlg-png-1.png\" class=\"wp-image-4272\" alt=\"ArchiveDlg.PNG\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/archivedlg-png-1.png 370w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/archivedlg-png-1-300x129.png 300w\" sizes=\"(max-width: 370px) 100vw, 370px\" \/>\n  .\n<\/p>\n\n\n\n<ol class=\"wp-block-list\" start=\"8\">\n<li>\n  A generated file name with the .adf extension is defaulted. If required, change the location and file name to match the archived file you wish to overwrite, by clicking <strong>Browse.<\/strong>\n<\/li>\n\n\n\n<li>\n  Check the <strong>Include Raw Data<\/strong> box to include the case data in your archive.\n<\/li>\n\n\n\n<li>\n  Click <strong>OK to archive the survey<\/strong>. If the survey has previously been archived to that location, you will be asked if you want to overwrite the existing file. Click <strong>Yes<\/strong>. \n<\/li>\n\n\n\n<li>\n  A confirmation message is displayed when the archived is completed. Click <strong>OK<\/strong>.\n<\/li>\n<\/ol>\n\n\n\n<p><strong>Note:<\/strong> To fully remove the participant\u2019s data, all previously created archive files, cloned surveys, or other copies of the survey data that specifically identify the individual also need to be removed. This includes re-running any reports containing information that can identify the individual participant.\n<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Removing in Snap XMP Online<\/h3>\n\n\n\n<p>   You can also permanently remove the data responses stored for an individual participant in Snap XMP Online. <\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>   In <strong>Snap XMP Online<\/strong>, select the survey that is linked to the participants\u2019 file. <\/li>\n\n\n\n<li>\n  In the <strong>Summary<\/strong> tab, click the <strong>Collect<\/strong> link.\n<\/li>\n\n\n\n<li>\n  Click the <strong>Responses<\/strong> option in the side menu panel\n<\/li>\n\n\n\n<li>\n  Click <strong>Find and erase<\/strong>.\n<\/li>\n\n\n\n<li>\n   In the adjacent box type the filter condition that identifies the participant then click on the <strong>Find matching responses<\/strong> button.\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"819\" height=\"166\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/findmatchresponse-png.png\" alt=\"Find the matching data responses\" class=\"wp-image-4273\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/findmatchresponse-png.png 819w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/findmatchresponse-png-300x61.png 300w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/findmatchresponse-png-768x156.png 768w\" sizes=\"(max-width: 819px) 100vw, 819px\" \/><\/figure>\n\n\n\n<ol class=\"wp-block-list\" start=\"6\">\n<li>\n  The filtered data to be removed will appear in a list below. The participants\u2019 details for a survey are initially uploaded from a database or file in Snap XMP Desktop or Snap XMP Online. The details should be first updated in the source database or file. The following instructions show how to upload to Snap XMP Desktop or Snap XMP Online again. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Removing in Snap XMP Desktop<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>\n  Open your database of participants and remove the relevant participant(s).\n<\/li>\n\n\n\n<li>   In<strong> Snap XMP Desktop<\/strong>, open the survey that is linked to the database of participants. <\/li>\n\n\n\n<li>\n  Choose <strong>File<\/strong> |<strong> Database links<\/strong>, <strong>select the relevant database link<\/strong> and click <strong>Run.<\/strong>\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image\"><img loading=\"lazy\" decoding=\"async\" width=\"596\" height=\"282\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dblinks-png.png\" alt=\"Database links dialog listing the links for the survey\" class=\"wp-image-4275\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dblinks-png.png 596w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dblinks-png-300x142.png 300w\" sizes=\"(max-width: 596px) 100vw, 596px\" \/><\/figure>\n\n\n\n<ol class=\"wp-block-list\" start=\"4\">\n<li>\n  In the <strong>Run Database Link<\/strong> dialog, select <strong>Replace all participants<\/strong> in the <strong>Participants and Seeding<\/strong> list. Select <strong>Replace all participants<\/strong>. Click <strong>Upload <\/strong>to update the participants\u2019 email invitation and login information.\n<\/li>\n<\/ol>\n\n\n\n<p>\n  You can also locate and select the participant in the <strong>Participant list<\/strong> then click <strong>Delete<\/strong> to remove the individual participant.
