This includes any responses to surveys that your organization keeps. Processing a request from an individual regarding their survey responses is covered by GDPR legislation. Survey responses are available to export using Snap the Snap XMP Desktop file structure to ensureDesktop. This can be used to provide a participant with access to their survey responses.  <\/p>\n\n\n\n<p>   Snap the Snap XMP Desktop file structure to ensureDesktop can be used to find the relevant responses to the survey and then export them so they can be made available to the participant. In order to identify an individual\u2019s survey responses, there must be some personal information that can be used to link them to their responses. This could be a login id, case number or personal information such as a name or address. If the survey allows multiple responses, there may be more than one response. <\/p>\n\n\n\n<p>   This tutorial shows you how to find the data responses and then export them using Snap the Snap XMP Desktop file structure to ensureDesktop. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Finding the responses<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>\n  In the <strong>Survey Overview<\/strong> window, open the survey. This may be an online or offline survey.\n<\/li>\n\n\n\n<li>\n  Click <strong>Data Entry<\/strong> \n  <img decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataentryicon-png-5.png\" class=\"wp-image-4259\" alt=\"DataEntryIcon.png\">\n   on the main toolbar.\n<\/li>\n\n\n\n<li>\n  In the <strong>Data Entry<\/strong> window, click <strong>Filter Cases<\/strong>\n  <img decoding=\"async\" width=\"26\" height=\"24\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/filtericon-png-1.png\" class=\"wp-image-4260\" alt=\"FilterIcon.png\">\n  . \n<\/li>\n\n\n\n<li>In the <strong>Data Entry Filter<\/strong> dialog, enter the <strong>Filter<\/strong>.\n<ul class=\"wp-block-list\">\n<li>\n      If the survey requires a login you can identify the participant by entering ID.name = login id, for example ID.name = \u201c1001\u201d\n    <\/li>\n\n\n\n<li>\n      If you know the case number you can identify the participant by entering case=case number, for example case = 1\n    <\/li>\n\n\n\n<li>\n      If there is a question that contains personal information such as surname enter question = surname, for example Q3 = \u201cSmith\u201d. If no cases are found, the message <strong>No cases match the filter expression<\/strong> is shown. \n<\/li>\n\n\n\n<li>\n  Check the data cases contain the correct data for exporting. The filter entered is automatically used in the <strong>Data Export<\/strong> window described in Step 2.\n<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Exporting the responses<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>\n  In the <strong>Data Entry<\/strong> window, click the <strong>File<\/strong> | <strong>Export menu.<\/strong>\n<\/li>\n\n\n\n<li>\n  Select the <strong>Format<\/strong> for the type of export required. In this example, the Excel format is used.\n<\/li>\n\n\n\n<li>\n  If required, select <strong>File<\/strong>. A default file name is entered automatically. This can be changed by clicking <strong>Browse<\/strong> to select the file location.\n<\/li>\n\n\n\n<li>\n  The <strong>Filter<\/strong> automatically contains the filter entered in the <strong>Data Entry Filter<\/strong> dialog. \n<\/li>\n<\/ol>\n\n\n\n<p>\n  <img loading=\"lazy\" decoding=\"async\" width=\"383\" height=\"347\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataexportdlg-png-3.png\" class=\"wp-image-4262\" alt=\"DataExportDlg.PNG\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataexportdlg-png-3.png 383w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/dataexportdlg-png-3-300x272.png 300w\" sizes=\"(max-width: 383px) 100vw, 383px\" \/>\n  .\n<\/p>\n\n\n\n<ol class=\"wp-block-list\" start=\"5\">\n<li>\n  In <strong>Export Options<\/strong>, clear the <strong>Responses Only<\/strong> checkbox. This exports both raw response data and any derived variables.\n<\/li>\n\n\n\n<li>\n  Click <strong>OK. A message is shown with the number of cases in the export file.
