For example, you could send an alert to the sales team when a customer requests a brochure, as part of the survey.<\/p>\n\n\n\n<p>You can enhance your project using the email alert feature, which is available in the Snap XMP Desktop app.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Information you will need<\/h2>\n\n\n\n<p>Before you set up the email alert you will need:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The email address that you want to sent the email alert to, such as, the sales team.<\/li>\n\n\n\n<li>The text of the email, which can include information from the response.<\/li>\n\n\n\n<li>The conditions that trigger an email alert, such as, the customer has requested the brochure.<\/li>\n\n\n\n<li>The email format, which can include plain text or HTML format. HTML emails let you include text formatting and variable fields, whereas plain text improves accessibility.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Open the questionnaire<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click&nbsp;<strong>Survey Overview<\/strong>&nbsp;<img decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/03\/surveyoverviewicon-png-6.png\" alt=\"SurveyOverviewIcon.png\">&nbsp;on the Snap XMP Desktop toolbar. Alternatively click on the survey name once to highlight it and then click\u00a0<img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2020\/07\/editsurveyicon-png-2.png\" alt=\"EditSurveyIcon.png\">\u00a0or press\u00a0<strong>Enter<\/strong>\u00a0to open the survey.<\/li>\n\n\n\n<li>This opens the\u00a0<strong>Survey Details\u00a0<\/strong>dialog, which shows the name, title and other notes for the survey. The&nbsp;<strong>Survey Overview&nbsp;<\/strong>window closes and, by default, the questionnaire opens in the&nbsp;<strong>Questionnaire<\/strong>&nbsp;window. You can now edit the questionnaire.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Create an email alert<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>In the Questionnaire window, click <strong>Questionnaire Properties<\/strong>&nbsp;<img loading=\"lazy\" decoding=\"async\" width=\"26\" height=\"26\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2021\/07\/questionnairepropsicon-png.png\" alt=\"QuestionnairePropsIcon.png\">&nbsp; on the toolbar. The rules are written as <a href=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/snapxmp\/routing-rule-expressions\/\">expressions<\/a> which are either true or false. For example, Q10 = 1, which is true if the respondent has selected the first answer in a single choice question, named Q10.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Enable or disable the alert<\/h3>\n\n\n\n<p>The\u00a0<strong>Enabled<\/strong>\u00a0checkbox determines if the email alert is active or not. <strong>Enabled <\/strong>is selected, by default, meaning that the email alert is active. <\/p>\n\n\n\n<p>If you wish to disable the alert, clear the <strong>Enabled<\/strong> checkbox. The email alert will not send an email when it is disabled.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Create the alert message<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select the&nbsp;<strong>use HTML<\/strong>&nbsp;box to use HTML formatting, including font type, style and colour, or any HTML code.<\/li>\n\n\n\n<li>In\u00a0<strong>To<\/strong>, enter the address of the person who will receive the email. If you wish to send to multiple recipients, separate each email address with a semi-colon. You can also use the\u00a0<strong>Insert\u00a0<\/strong>button to insert an email address variable from the questionnaire, allowing the alert to dynamically populate the email address using text substitution. In this way, the respondent could receive an email alert confirming their response submission. The field will show the variable in curly brackets {}.<\/li>\n\n\n\n<li>In\u00a0<strong>From name<\/strong>,\u00a0enter the sender name for the email.<\/li>\n\n\n\n<li>In&nbsp;<strong>Subject<\/strong>, enter the subject of your email in the&nbsp;<strong>Subject&nbsp;<\/strong>field.<\/li>\n\n\n\n<li>Enter the content of the email. You can use the&nbsp;<strong>Insert&nbsp;<\/strong>button to insert variable fields from the questionnaire (for example, the date, site, etc) in the email body as well as the&nbsp;<strong>To, From name<\/strong>&nbsp;and&nbsp;<strong>Subject<\/strong>&nbsp;fields. If you insert the answer for a coded question it will display the appropriate answer label. The alert is added to the list of alerts<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Publishing the questionnaire<\/h2>\n\n\n\n<p>You will need to publish your questionnaire for the email alerts to become active.
