Power BI can connect to a range of data sets, including response data from Snap XMP.<\/p>\n\n\n\n<p>There are two ways to connect Snap XMP response data to Power BI:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Export the response data file in CSV format to use in Power BI<\/li>\n\n\n\n<li>Use the Snap XMP API directly in Power BI<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Exporting the response data file in CSV format<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Log into Snap XMP Online and open the survey.<\/li>\n\n\n\n<li>In the <strong>Summary<\/strong> tab, click <strong>Collect<\/strong> to go to the <strong>Collect<\/strong> section.<\/li>\n\n\n\n<li>In the <strong>Collect<\/strong> menu, click <strong>Responses<\/strong>. This opens the <strong>Responses<\/strong> section where you can manage the survey\u2019s response data that has already been collected.<\/li>\n\n\n\n<li>In <strong>Export Options<\/strong>, select the CSV export option. <a href=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/snapxmp\/managing-response-data\/\">Managing response data<\/a> contains further information on the available export options.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img fetchpriority=\"high\" decoding=\"async\" width=\"647\" height=\"342\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2022\/04\/ExportAll.png\" alt=\"\" class=\"wp-image-7621\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2022\/04\/ExportAll.png 647w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2022\/04\/ExportAll-300x159.png 300w\" sizes=\"(max-width: 647px) 100vw, 647px\" \/><\/figure>\n\n\n\n<ol start=\"5\" class=\"wp-block-list\">\n<li>Click <strong>Export All Data<\/strong> to export all the responses to a CSV file. This saves the file to the Downloads folder set on your device.<\/li>\n\n\n\n<li>Once downloaded, open <strong>Power BI<\/strong> and select <strong>Get Data<\/strong>.<\/li>\n\n\n\n<li>In the <strong>Get Data<\/strong> dialog, which opens up, select <strong>Text\/CSV<\/strong>, then select the exported data file and click <strong>Open<\/strong>.<\/li>\n\n\n\n<li>Once loading is complete, you can view the response data. You can check the data looks the way you want then click <strong>Load<\/strong> to load the data into Power BI. There is an option to transform the data before loading, if required.<\/li>\n<\/ol>\n\n\n\n<p>This option uses a snapshot of the response data at the time you exported the file. To update the data, repeat the process by exporting the file, giving it the same name, then re-loading it into Power BI.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Using the Snap XMP API directly in Power BI<\/h2>\n\n\n\n<p>Before using the API, the Snap XMP Online account being used will require an API permit. <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If you are using the Snap Surveys <strong>Subscription <\/strong>service Snap Surveys will set up the API permit.<\/li>\n\n\n\n<li>If you are using an <strong>On-Premises<\/strong> service, your organisation will set up the API permit.<\/li>\n<\/ul>\n\n\n\n<p>Please note that when using the API:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>software development experience may be required.<\/li>\n\n\n\n<li>there is a <a href=\"https:\/\/www.snapsurveys.com\/survey-software\/pricing\/\" target=\"_blank\" rel=\"noreferrer noopener\">unit cost associated with using the API<\/a>.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Finding the survey GUID<\/h3>\n\n\n\n<p>Each survey has a unique identifier, called a GUID. This API uses the GUID to link to the survey. The survey GUID can be found in Snap XMP Desktop and Snap XMP Online.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Snap XMP Online<\/h4>\n\n\n\n<p>Log into Snap XMP Online and open the survey. The <strong>Survey <\/strong>field contains the survey GUID.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"536\" height=\"433\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GUIDDesktop1.png\" alt=\"\" class=\"wp-image-10792\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GUIDDesktop1.png 536w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GUIDDesktop1-300x242.png 300w\" sizes=\"(max-width: 536px) 100vw, 536px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Getting data using the API<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open Power BI and click on the <strong>Get data<\/strong> text.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"915\" height=\"208\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GetData1b.png\" alt=\"\" class=\"wp-image-10817\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GetData1b.png 915w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GetData1b-300x68.png 300w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/GetData1b-768x175.png 768w\" sizes=\"(max-width: 915px) 100vw, 915px\" \/><\/figure>\n\n\n\n<ol start=\"2\" class=\"wp-block-list\">\n<li>Select <strong>Web<\/strong> from the list of <strong>Common data sources<\/strong>.<\/li>\n\n\n\n<li>In the <strong>From Web<\/strong> dialog, click <strong>Advanced<\/strong> to expand the options.<\/li>\n\n\n\n<li>In <strong>URL parts<\/strong>, enter the URL that calls the API. For example the URL to return response data is: <\/li>\n<\/ol>\n\n\n\n<pre class=\"wp-block-code\"><code>https:\/\/&lt;servername>\/snaponline\/api\/surveys\/&lt;surveyGUID>\/responses?returnCaseIds=true&amp;useCodeLabels=true<\/code><\/pre>\n\n\n\n<ul start=\"2\" class=\"wp-block-list\">\n<li>The URL is case sensitive for the options at the end.<\/li>\n\n\n\n<li>&lt;servername&gt; is the name of the server, such as online1.snapsurveys.com or online2.snapsurveys.com if you are using Snap Surveys Subscription service,<\/li>\n\n\n\n<li>&lt;surveyGUID&gt; is the unique GUID for the survey you are using.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"574\" height=\"209\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2URL.png\" alt=\"\" class=\"wp-image-10814\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2URL.png 574w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2URL-300x109.png 300w\" sizes=\"(max-width: 574px) 100vw, 574px\" \/><\/figure>\n\n\n\n<ol start=\"5\" class=\"wp-block-list\">\n<li>Next add in login information required by the API. In the <strong>HTTP request header parameters<\/strong> add your username, API key (Password) and API version info.\n<ul class=\"wp-block-list\">\n<li>Enter <strong>X-USERNAME<\/strong> with the Snap XMP Online account email address. Click <strong>Add header<\/strong>.<\/li>\n\n\n\n<li>Enter <strong>X-API-KEY<\/strong> with the <a href=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/snapxmp\/api-security\/\" target=\"_blank\" rel=\"noreferrer noopener\">user&#8217;s API key<\/a>. Click <strong>Add header<\/strong>.<\/li>\n\n\n\n<li>Enter <strong>X-VERSION<\/strong> as 2.0.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"877\" height=\"283\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2Login.png\" alt=\"\" class=\"wp-image-10815\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2Login.png 877w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2Login-300x97.png 300w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/FromWeb2Login-768x248.png 768w\" sizes=\"(max-width: 877px) 100vw, 877px\" \/><\/figure>\n\n\n\n<ol start=\"6\" class=\"wp-block-list\">\n<li>Click <strong>OK<\/strong><\/li>\n\n\n\n<li>The first time you enter the login information, it will ask what credentials you want to use. Select <strong>Anonymous<\/strong> from the left side. (This is not actually anonymous since the login details have been passed through and will be used for authentication.)<\/li>\n\n\n\n<li>Select the API level for access. For example, for any API call use \u201chttps:\/\/&lt;servername&gt;\/snaponline\/api\u201d replacing &lt;servername&gt; with the name of the server you are using.<\/li>\n\n\n\n<li>Click <strong>OK<\/strong>.<\/li>\n\n\n\n<li>Click <strong>Close and Apply<\/strong> to load the data. The API data is one row per variable, so each column has just a list of one aspect of the variable (one column for variable number, one for responses, etc.)<\/li>\n<\/ol>\n\n\n\n<p>Using the API, means that you can refresh the response data from Power BI and the data is kept up to date. Be aware that there is a <a href=\"https:\/\/www.snapsurveys.com\/survey-software\/pricing\/\" target=\"_blank\" rel=\"noreferrer noopener\">unit cost associated with using the API<\/a>.<\/p>\n\n\n\n<p>You can use <a href=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/snapxmp\/api-reference\/\" target=\"_blank\" rel=\"noreferrer noopener\">the API to return a number of different data sets<\/a> for your surveys.<\/p>\n\n\n\n<h1 class=\"wp-block-heading\">Transforming the response data<\/h1>\n\n\n\n<p>Once the response data is in Power BI, you can change the data.<\/p>\n\n\n\n<p>We recommend that you duplicate the response data before making changes. This is for safety so that you have your original data to return to, if necessary, and if you are using the API there is a unit charge for re-loading the data.<\/p>\n\n\n\n<p>In Power BI, click <strong>Transform data<\/strong>. This opens a spreadsheet-style view of the data.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"915\" height=\"208\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/TransformData1.png\" alt=\"\" class=\"wp-image-10803\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/TransformData1.png 915w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/TransformData1-300x68.png 300w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/TransformData1-768x175.png 768w\" sizes=\"(max-width: 915px) 100vw, 915px\" \/><\/figure>\n\n\n\n<p>Some example transformations are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If the response data uses a header (top) row, this will load as a data row and populate in your chart. You can choose to use the first row to name your column headers or you can remove rows by selecting <strong>Remove rows&gt;Remove top rows<\/strong> then enter \u201c1\u201d to remove the top row.<\/li>\n\n\n\n<li>Apply a filter by clicking the drop-down next to the column that you want to transform. Select the filter from the options, then click <strong>OK.<\/strong><\/li>\n\n\n\n<li>Remove unwanted columns by selecting the column, right-clicking then selecting <strong>Remove Columns<\/strong> from the pop-up menu.<\/li>\n<\/ul>\n\n\n\n<p>If importing the data via the API the recommended transformation sequence is:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Apply a filter by clicking the drop-down next to the responses.status column so you exclude cases marked as deleted if you have them.<\/li>\n\n\n\n<li>Remove unwanted columns by selecting the column, right-clicking then selecting\u00a0<strong>Remove Columns<\/strong>\u00a0from the pop-up menu. You need to keep responses.caseID, responses.variables.id and responses.variables.v<\/li>\n\n\n\n<li>Select the responses.variables.id column and use the Pivot column option from the Transform menu:<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"747\" height=\"281\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/PivotColumn.png\" alt=\"\" class=\"wp-image-13196\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/PivotColumn.png 747w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/PivotColumn-300x113.png 300w\" sizes=\"(max-width: 747px) 100vw, 747px\" \/><\/figure>\n\n\n\n<ol start=\"4\" class=\"wp-block-list\">\n<li>Select responses.variables.v as the Values column, select advanced and change the function to don\u2019t aggregate and press OK<\/li>\n<\/ol>\n\n\n\n<p>Click <strong>Close and apply<\/strong> to save all the changes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Using Power BI for charts<\/h2>\n\n\n\n<p>There are a variety of visualizations that you can create in Power BI, including charts.<\/p>\n\n\n\n<p>When you have loaded your data set the data source is shown in the <strong>Data <\/strong>section. Expand the data source to view the columns. <\/p>\n\n\n\n<p>In the Visualizations section, there are a number of charts that you can select. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Example: Stacked bar chart<\/h3>\n\n\n\n<p>To add a chart:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>In Visualizations, click on the Stacked bar chart icon to add it to the display area. <\/li>\n\n\n\n<li>In Data, select or drag a data column, e.g. Location, to add it to the Y axis.<\/li>\n\n\n\n<li>Drag the data column to the X axis to view the location counts.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"405\" src=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a-1024x405.png\" alt=\"\" class=\"wp-image-10819\" srcset=\"https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a-1024x405.png 1024w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a-300x119.png 300w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a-768x304.png 768w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a-1536x607.png 1536w, https:\/\/www.snapsurveys.com\/support-snapxmp\/wp-content\/uploads\/2023\/11\/Charts1a.png 1624w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Refreshing data<\/h3>\n\n\n\n<p>Using the API, means that you can refresh the response data from Power BI, by clicking <strong>Refresh<\/strong>. The connection to the data keeps it up to date.<\/p>\n\n\n\n<p>For refreshing data obtained from an exported CSV file:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>In Snap XMP Online, re-download the CSV data export file, keeping the same file name and location.
