This worksheet covers the steps required to transfer your Snap 11 surveys to online surveys in Snap XMP.

Snap XMP consists of three products:

  • Snap XMP Desktop is the latest version of Snap Surveys’ Windows based software.
  • Snap XMP Online is the new web based product that lets you build and run surveys from your web browser.
  • Interviewer is an offline survey app that lets you run an online survey, without the need for a reliable internet connection.

As part of the process of moving onto using Snap XMP you will need to transfer your existing Snap 11 surveys to the latest version of the software.

Background

In Snap XMP Desktop there are two types of survey; online surveys and offline surveys.

Online surveys are surveys that are available in both Snap XMP Desktop and Snap XMP Online. They can be organised in folders that are shown in both applications. The online surveys are kept up to date and the response data synchronized between the two applications.

Offline surveys are surveys that are available in Snap XMP Desktop only. All existing surveys from Snap 11 are available in Offline surveys in the Survey Overview window.

Prerequisites

Your Snap XMP Online account must be set up before you can use online surveys in Snap XMP Desktop.

Upgrade Paths

Once you have archived your survey there are a number of different upgrade paths depending on how you would like to run your surveys. Please choose from the following

  1. For an inactive survey that is no longer in use please use Archiving and deleting a survey that is no longer in use
  2. For an active paper survey or an active scanning survey with no online editions please use Upgrading to a Snap XMP Desktop Offline survey
  3. For an active online survey with or without a paper edition please use Upgrading to a Snap XMP Desktop Online survey
  4. For an active online survey with a database of participants please use Upgrading to a Snap XMP Desktop Online survey followed by Running the database link or using Snap XMP Online participants

Archiving and deleting an inactive survey that is no longer in use

We highly recommended that you archive the Snap 11 survey prior to upgrading.

Inactive surveys that you no longer use can be archived and then deleted. The survey can be restored if you need to access the survey at a later date.

Archiving the survey

  1. Highlight the survey you wish to archive in the Survey Overview window.
  2. Click on ArchiveIcon.png to access the Archive Survey dialog.

  1. Snap will automatically generate a default file name and path, you can change these by clicking Browse
  2. In Options, select Include Raw Data to archive the raw data (.rdf file) as well. (If you select the raw data option, then this includesthe archive file , with extension .snpdf.)
  3. If you have archived the survey on an earlier occasion, you will be asked whether you want to replace it. Click Yes to replace the file.
  4. Click OK on the confirmation message.

Deleting the survey

Once you have archived your survey you can now delete the survey.

  1. In the Survey Overview window, select the survey you want to delete.
  2. Click DeleteSurveyIcon.png Delete Survey. This opens the Delete Survey dialog.

  1. Select Survey definitions, which automatically selects Raw data and Temporary backup files, then click Delete.
  2. Click Yes to confirm that you want to continue with the deletion.

Upgrading to a Snap XMP Desktop Offline survey

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys. The Snap 11 surveys have a status Needs upgrade (Snap 11).

  1. If you can’t find the survey you want to transfer to Snap XMP, click Browse to locate your Snap 11 survey. When you find the folder containing the survey, select it and click open.
  2. In the Survey Overview window, select the Snap 11 survey that you want to transfer.
  3. Click Enter or double click the survey. You will need to confirm that you wish to upgrade in order to continue.

  2. This opens the Survey Details dialog. Click OK to open the upgraded questionnaire. In the Survey Overview window the survey status shows blank rather than Needs upgrade (Snap 11).

Upgrading to a Snap XMP Desktop Online survey

  4. Clone the Snap 11 survey as a new online survey

If you are upgrading a live survey that is using WebHost we recommend that, where possible, you wait until there is break in interviewing or the survey is closed before upgrading to Snap XMP Desktop. If this is not possible then we recommend upgrading at a time when fewer people are accessing the survey.

Please note that when upgrading, the URL links for the survey will change for the survey when upgrading from WebHost to Snap XMP Online.

  1. Prior to archiving and upgrading the survey, pause interviewing in Snap WebHost and download all the response data into Snap 11. Participants will not have access while the survey is paused.
  2. In Snap XMP Desktop, highlight the survey you wish to archive in the Survey Overview window.
  3. Click on ArchiveIcon.png to access the Archive Survey dialog.

  1. The software automatically generates a default file name and path, you can change these by clicking Browse
  2. In Options, select Include Raw Data to archive the raw data (.rdf file) as well. (If you select the raw data option, then this includesthe archive file , with extension .snpdf.)
  3. If you have archived the survey on an earlier occasion, you will be asked whether you want to replace it. Click Yes to replace the file.
  4. Click OK on the confirmation message.

Creating a folder to help organise the online surveys

Folders help to organise your online surveys. Creating your folders first allows you to create or transfer your online surveys to the place you want straight away.

  1. On the Snap XMP Desktop toolbar, click Survey Overview SurveyOverviewIcon.png which opens the Survey Overview window.
  2. On the Survey Overview toolbar, click Online Surveys 5.OnlineSurveysIcon.png to show the online surveys. When you open the online surveys for the first time there will only be a top level folder called Your work.

  1. Click on Your work then right click to show a popup menu and click New Folder.

  1. In the New Folder Name dialog, enter a name for the folder. In the example, the new folder name is “Demo Surveys”.

Browse to the location of the Snap 11 offline survey

  1. On the Survey Overview toolbar, click Offline Surveys 6.OfflineSurveysIcon.png to show the offline surveys.

  1. If you can’t find the survey you want to transfer to XMP, click Browse to locate your Snap 11 survey. When you find the folder containing the surveys, select it and click open.
  2. In the Survey Overview window, select the Snap 11 survey that you want to transfer.

Clone the Snap 11 survey as a new online survey

  1. On the Survey Overview toolbar, click Clone CloneSurveyIcon.png to create a copy of the Snap 11 survey. This copy is used to transfer your Snap 11 survey to the Snap XMP format, leaving the original Snap 11 survey untouched.
  2. In the Clone Survey dialog, select Online surveys to create the clone as an online survey. Select Also clone the raw data, if you want to transfer the survey with a copy of all the raw response data.

  1. Click OK to open the New Online Survey dialog. In the New Online Survey dialog, you can change the name of the survey and select the folder location for your online survey.
  2. Enter the survey name, if required (for example, Crocodile XMP).
  3. Select the folder where you want your survey to go (for example, Demo Surveys, the folder created in Step 1).

  1. Click OK. You will see an information bar while the survey is cloned. Once complete the Survey Overview window switches to the online survey view with the new survey selected.

  1. You can now delete the Snap 11 version in the Offline surveys list.

Using the online survey

Once you have the transferred the survey, you can use the online survey in both Snap XMP Desktop and Snap XMP Online. When you log into your account on Snap XMP Online you can see the new folder and cloned survey.

Running the database link or using Snap XMP Online participants

If you have set up participants, invitations and/or seeded data for your survey you will need to run the database link. This will generate the participant and invitation data for the online survey making it available in Snap XMP Online.

  1. Select File | Database Link to display the Database Links dialog box.
  2. Select the link that you want to run.

  1. Click Run to generate the new participant data. The Run Database Link dialog appears.
  2. In Participants and Seeding choose Replace all participants to load all the participants.
  3. In Invites and Reminders choose Define or replace to load the invitations.
  4. Click OK to load the participant data.

You can also use Snap XMP Online to manage participants for your surveys.

Stand alone installation

A stand alone version of Snap XMP Desktop runs the software on a single computer. If you are installing a stand alone version of Snap XMP Desktop use the following instructions to guide you through the installation wizard.

  1. Run the downloaded snapdesktopsetup.exe file
  2. The Snap XMP Desktop installation wizard displays a welcome screen. Click Next to move to the next step.
  3. Enter the installation code provided with your copy of Snap XMP Desktop. If you do not enter an installation code, or if the code entered is incorrect, an evaluation copy of Snap XMP Desktop will be installed. Evaluation copies will only permit you to enter up to 25 cases.
Installing Snap Desktop - customer information
  1. The user name is required. The company name is optional. They are usually completed from settings stored for the current user. If other people use your machine and you do not want them to have access to Snap, then select the option marked “Only for me”.
  2. Click Next to continue.
  3. The next screen displays the software licence agreement. You may only continue beyond this screen if you accept the terms of the licence.
  4. Click Next to continue.
  5. You are asked to specify where you would like to copy the application files and the survey files. Click Browse to change the default settings. Use a drive local to your PC, e.g. C, rather than a drive on a network server; the latter may slow down the start up process each time you run Snap. The setting chosen here does not prevent you from storing surveys on the network.
  6. Click Next to continue.
  7. You are asked which components you wish to install.
  • The options are:
    • Program Files: this is the software and must be installed.
    • Sample Surveys: example surveys to help you get started quicker and the Reference Pak.
    • Images: images to enhance the appearance of questionnaires, tables and charts.
Installing Snap Desktop - select features
  1. Click Next to continue.
  2. Snap XMP Desktop contains dictionaries to support the spell checking process. The language you specify will determine which dictionary is used by default. Note that you can change to a different dictionary at any time within Snap XMP Desktop.
  3. Click Next to continue.
  4. Select the program folder and the installation will place a shortcut in the Start | Programs menu of Windows to facilitate start up of the application. You can select the location of this shortcut from one of the folders listed or create a new one by typing its name in the space provided.
  5. Click Next to continue.
  6. The next screen displays a list of other options.

  1. Check the first box to associate the specified file types with Snap. This tells Windows that files whose names end in .adf or .mdf are Snap files. If you open these files they will open in Snap XMP Desktop. Associating files with an application can save time in starting up Snap XMP Desktop. The only reason for not associating these files is if another application that you use also makes use of files that end .mdf or .adf. If this is the case Windows will not be able to detect which is the correct application to use. You should not set any associations and should instead open each file from within the correct application.
  2. Select options that add a Snap XMP Desktop shortcut on your device’s desktop or start menu then click Next to continue.
  3. Confirmation of the type of licence to be installed is shown on the next screen.
Installing Snap Desktop - network installation
  1. Check the drive location (you may need to scroll down to the bottom of the screen to see it) and the name of the licence.
    • If the details are correct, click Next to begin installing the Snap software.
    • If you wish to change the drive location, click Back to return to the relevant screen.
  2. You will be kept informed of progress while the software is being copied to the computer. Only click Cancel if you want to stop the installation.
  3. A screen appears telling you that the installation has been completed successfully. Click Finish to complete the installation.

Network installation

In a network version of Snap XMP Desktop the software is installed on the server, and a number of clients or workstations run Snap XMP Desktop connected to the server. The number of clients is dependent on the Snap XMP Desktop licence that you have purchased.

Installing Snap XMP Desktop on your network requires the following steps:

  • Step 1: Installing Snap XMP Desktop on the server using the Snap XMP Desktop licenses
  • Step 2: Setting client access permissions to share the installation folder
  • Step 3: Installing Snap XMP Desktop on the client computers

Step 1: Installing Snap XMP Desktop on the server

You will receive the Snap XMP Desktop software by download.

If you are re-installing on the server you must ensure that all users are logged out of the program before starting the process.

  1. Run the downloaded snapdesktopsetup.exe file
  2. Click Next to continue.
  3. The Snap Surveys licence agreement is displayed. You may only continue beyond this screen if you click on Yes to accept the terms of the licence. If you select No then the installation will be cancelled.
  4. Enter the installation code provided with your version of Snap XMP Desktop. If you have multiple installation codes, you can enter any one of them. You will be able to add the others later in the installation process.

If you do not enter an installation code, or if the code entered is incorrect, an evaluation copy of Snap XMP Desktop is installed.

  1. The server shows a list of licences currently available, including the one currently being installed. If this is the first (or only) Snap XMP Desktop licence then it is the only one displayed.
Installing Snap Desktop - change licence
  1. To add further licences, click Add. For each new licence you wish to add, you are asked for the 20‑character installation code.
    • Enter a default name for the licence.
    • The password is optional, but if you enter one, then it is requested during the installation process on the individual workstations.
    • The Modify option allows you to change the settings for an existing licence. This may be because you wish to change the name or password.

  3. You will be kept informed of progress while the software is installed on the network server. Do not click Cancel unless you want to stop the installation.
  4. A screen appears telling you that the installation has been completed successfully. Click Finish to complete the installation.

Step 3: Installing Snap XMP Desktop on client computers

When Snap XMP Desktop has been installed onto the server, you can then install Snap XMP Desktop onto the client computers, according to the terms of your licence.

If you have a fixed user licence the workstation installations are limited to the maximum permitted for the licence. The users are “fixed” to a single workstation Once this limit has been reached further installations will only be possible if you remove Snap XMP Desktop from one or more workstations.

If you have a concurrent user licence, you can install the software on any number of workstations but can only use the maximum number simultaneously. Once this limit has been reached, one user must close their copy before another user can start Snap XMP Desktop.

  1. At the client machine, using File Explorer or similar application, browse to the location of the network installation share created when installing Snap XMP Desktop on your network server. Locate the Netsetup Folder and run, using double-click, the file Setup.exe.
  2. The Snap XMP Desktop installation wizard begins by displaying a welcome screen. Click Next to continue.
  3. The next screen displays the software licence agreement. You may only continue beyond this screen if you accept the terms of the licence.
  4. The installation wizard completes your user name and company name based on the settings stored in your machine. You may edit these if required, but this does not change the settings held on your machine and Snap Surveys does not use the information.
  5. If other people use your machine and you do not want them to have access to Snap XMP Desktop then select the option marked “Only for me”. Otherwise you are advised to make Snap XMP Desktop available to all users of the machine.
  6. If more than one licence is available you are asked to select which licence to install. If only one server licence is available this step will be omitted. Select the licence that you wish to install. If a password was applied to this licence at the network installation stage, you will be prompted for the password.
  7. You are asked to specify where you would like to place the application files and the survey files. Click Browse to change the default settings. The setting chosen here does not prevent you from storing surveys on the network.

Modifying a licence

To make changes to the configuration of the software, e.g. adding or removing Snap XMP Desktop components, increasing the number of users, changing the name of a licence or adding/changing a password (Network version only) you need to use the Windows feature for modifying software:

  1. Select Start | Settings | Apps (In older versions of Windows this may be Start | Settings| Control Panel)
  2. Locate Snap XMP Desktop and select it.
  3. Select Modify, the Snap XMP Desktop installation wizard begins.
