Automatic sliding page transitions slide the questions on the page, when showing the next or previous page. This happens after the respondent clicks the next or back button, or when the page automatically moves to the next page. The direction of the sliding page transition depends on the device the respondent is using, with larger devices, such as laptops, sliding horizontally, and smaller devices, such as, mobile phones, sliding vertically.

Setting up automatic page transitions

Enter the text {{Slide}} in the questionnaire to turn on the automatic sliding page transition.

You can add it anywhere in the questionnaire, but we recommend adding it to the title, so you can easily see that the automatic sliding page transition is on. The respondent will not see the text {{Slide}} during the interview.

Both Snap XMP Desktop and Snap XMP Online use the same set up.

You can also fix the page transition as a horizontal or vertical slide.

Sticky headers and footers let you keep the headers at the top of the questionnaire page and, or the footers at the bottom of the questionnaire page.

Sticky headers are particularly useful for keeping tab headers at the top of the page. As the respondent scrolls down the questions, they can always see which tab they are on. Sticky footers keep the navigation buttons at the bottom of the page so the respondent can always see them. You can use both sticky headers and footers in the questionnaire.

Setting up sticky headers

Enter the text {{StickyHeader}} in the questionnaire to turn on the sticky header.

You can add it anywhere in the questionnaire, but we recommend adding it to the title, so you can easily see that the effect is on. The respondent will not see the text {{StickyHeader}} during the interview.

Changing the background colour

The default background colour is white. This can be changed to highlight the header or footer by setting the background option.

For example:

For example, the sticky header background is set to light blue in the designer.

The Jump to Top feature gives the respondent a way to quickly move to the top of the questionnaire. This is useful for questionnaires with a large number of questions on a page, especially when using tabbed questionnaires to jump back to the tabs at the top of the page.

Setting up Jump to Top

Enter the text {{JumpToTop}} in the questionnaire to turn on the Jump to Top feature.

You can add it anywhere in the questionnaire, but we recommend adding it to the title, so you can easily see that the Jump to Top feature is on. The respondent will not see the text {{JumpToTop}} during the interview.

Both Snap XMP Desktop and Snap XMP Online use the same set up.

Customising tooltip text

The default text is “Jump to top”. You can change this using the tooltip option when adding the JumpToTop keyword.

For example:

{{JumpToTop tooltip=Scroll to top}}

Multi-lingual surveys

When working with a multi-lingual survey the keyword JumpToTop must be in the default language edition as this edition is loaded first. If you want the tooltip text to be shown in another language you can add the keyword in each language edition and translate. However, do not translate the keyword itself.

Jump to Top during an interview

Jump to Top is provided by a button, that when activated, takes the user to the top of the page. The respondent can left-click the button using the mouse. The Jump to Top button appears when a scroll bar is required for the questionnaire page, and the respondent has scrolled down the page.

When the respondent hovers the mouse over, the tooltip shows.

This helps protect the privacy of respondents when they are completing questionnaires that ask for sensitive information. Setting up Quick Exit

Enter the text {{QuickExit}} in the questionnaire to turn on the Quick Exit feature.

You can add it anywhere in the questionnaire, but we recommend adding it to the title, so you can easily see that the Quick Exit feature is on. The respondent will not see the text {{QuickExit}} during the interview.

Both Snap XMP Desktop and Snap XMP Online use the same set up.

Changing the icon

The Quick Exit button icon defaults to “X”. You can change this by adding an icon after the QuickExit keyword.

Changing the display name

The Quick Exit button name defaults to “Quick Exit (esc)”. You can change this by adding a name after the QuickExit keyword.

Changing the exit website

The Quick Exit URL redirects to the website with the URL. This defaults to “https://www.google.com”. You can change this by adding a different URL after the QuickExit keyword.

Using the escape key

By default, the Escape (Esc) key redirects to the exit website. You can turn this feature off by setting the escape to false after the QuickExit keyword.

Showing the tooltip text

The Quick Exit tooltip text defaults to “”. You can change this by adding a tooltip text after the QuickExit keyword.

The button redirects to the Amazon website, has a different icon, and escape key does not redirect

Multi-lingual surveys

Quick Exit during an interview

Quick Exit is provided by a button, that when activated, instantly closes everything down, deletes the browser history for that questionnaire, and takes the respondent to another website. The respondent can left-click the button using the mouse or press the Esc key, if allowed.

The browser history for that questionnaire is deleted when the respondent hits the Save or Submit buttons in a questionnaire that has the Quick Exit button deployed.

Code effects are set up for the whole questionnaire or for a question. If it is set up at the questionnaire level, this overrides any effects set for a question.

Enter the text {{codeFxScale}} in a Title or Note question to turn on the code scale effect for all questions with codes in the questionnaire.

You can add it to any Title or Note in the questionnaire, but we recommend adding it to the first Title in the questionnaire, so you can easily see that the effect is on. The respondent will not see the text {{codeFxScale}} during the interview.

For a single question

Enter the text {{codeFxScale}} in the question to turn on the code scale effect for that question only.

Adding images to a questionnaire make it more engaging, helping to increase the responses. You can add an image to any question text, such as a question answer.

Snap Surveys provides a range of images for surveys that you can download and use. These survey images include iconsrating scales and backgrounds.

Adding an image

  1. Place the cursor where you want to insert the image.
  2. Click the Insert an Image button on the Format toolbar. This opens the Image Browser dialog.

  1. Click the Choose an image button to select an image.
  1. The Select an image to insert dialog shows the available images. If this does not show your image, click the Choose file button to find and select the image.
  2. Select the image you want to insert and click OK. This takes you back to the Image Browser.
  3. Depending on the image selected, you can change the color using the Pick Color option.
  4. Depending on the web browser, you can resize the image using the Resize % option.
  5. Each image can be provided with a description in the Alt/Title text, which becomes the tool tip. The respondent see the alternative text when they are unable to see the image. Voice readers active on the browser will also read the text description.
  1. Click OK to save the changes. This inserts the selected image at the cursor location.

Repeat this for all answer choices in a question and increasing the number of columns to the number of choices produces a question with images shown across the page.

Adding links to a questionnaire can let you include information kept elsewhere on the internet, such as terms and conditions or privacy policies. The respondents will always see the latest version of these documents.

You can also include a link to an email address, such as a sales request.

Adding a link

  1. Place the cursor where you want to insert the link.
  2. Click Link on the Format toolbar. This opens the Link dialog.
  1. In Display Text, enter the text that you want the respondent to see.
  2. In Protocol, choose from
    • http:// to open a web page given by the URL text.
    • https:// to open a secure web page (recommended) given by the URL text.
    • mailto: to send an email to the email address entered in the URL text.
  3. In URL, enter the web page address or the email address, depending on the selected protocol.
  1. Click OK to save the changes. This adds the link at the cursor location with the display text.

If you wish to remove the link, click Unlink on the Format toolbar. This keeps the display text.

Questions that do not trigger AutoNext

There are some questions that do not trigger the AutoNext feature. This is because it is not possible to know when the respondent has completed their response for the question.

These include:

  • Multiple response questions
  • Open ended questions, such as comments, quantity, date and time
  • Open series questions, such as comments, quantity, date and time
  • Sliders

For these questions, the respondent can use the Next navigation button to move to the next page.

AutoNext during an interview

For pages that contain only single response questions, the interview automatically moves to the next page after all the questions on the current page have been answered.

In this example, the first single response question is complete. When the respondent answers the second single response question, the interview moves to the next page without the need to use the Next button.

On the next page, there is a single response question and an open ended question asking for information. After the respondent answers the first question, they move to the second question. The respondent enters the information and then either clicks the Next button or presses the tab key to automatically move to the next page.

When a survey includes a save button, the respondent can save their responses to the interview. They can come back later to complete the survey.

Adding the Save URL

The Save & submit section contains the option to set a web page to show after the respondent has submitted their response. The Save & submit section is part of the Questionnaire properties side menu.

  1. Open the survey and click on the Build link to show the questionnaire.
  2. Click the Questionnaire properties menu.
  3. The Save & submit section includes options on what to do after the respondent submits their response.

  1. Set Close on submit to No.
  2. This is the URL of the web page that is shown when the respondent clicks the Save button. The Default URL is provided by Snap Surveys and displays a Thank you message. If you want to use another URL, enter this URL in Save URL.
  3. If you want to use the default Snap Surveys save page, clear the Save URL.

The URL must be a valid web address that starts with “https://” or “http://”.

You may also choose to close the questionnaire after the respondent submits, or to show a web page after the respondent submits their response.

Resuming a saved response

Resuming a saved response depends on how the respondent accessed the questionnaire. If they used a login, the data response is saved with their login details so that it is reloaded when they resume the questionnaire.

Otherwise, when the respondent clicks the save button, they are shown a web page that gives them information allowing them to resume the questionnaire at a later time. You can use the default Snap Surveys save page URL, or enter your organisation’s save page URL instead.

The default save page is supplied by Snap Surveys. The page includes a link that the respondent can click to complete the questionnaire. They also have an option to enter an email address that Snap Surveys will use to email the link to them.

When the respondent clicks on the link to continue the questionnaire, they go to the last page they were viewing. They are able to continue the questionnaire, and either save again or submit the response. If they have already completed the questionnaire, they receive a message informing them.

If you want to collect data that the respondent saved but did not complete, then you will need to use partial responses.

There are a number of supplied navigation buttons that you can specify how they appear on the questionnaire pages.

Navigation buttons

There are seven navigation buttons that can be used to move forwards or backwards through the questionnaire, submit or save the completed response, or print the current page.

The Buttons section is part of the Questionnaire properties side menu.

  1. Open the survey and click on the Build link to show the questionnaire.
  2. Click the Questionnaire properties menu.
  3. The Buttons section includes display options for all the navigation buttons, except the Next button, which is visible on all but the last page.

Layout options

There are two types of tabs available:

  • Tab pages where each page of the questionnaire is a tab containing questions
  • Tab headers is a group of tabs available on a questionnaire page alongside other questions

Tab pages

The respondents navigate through the pages by clicking each tab header, in addition to using the Next and Back buttons. You can remove the Next and Back buttons so navigation is only possible with the tabs. The content for each tab is set using page breaks and the respondent selects the page by selecting a tab.

Enable the ID.Page variable

For surveys created using the latest survey templates, there is a hidden ID.Page variable included in the questionnaire. The tab control is only available in online editions. In a paper edition, the ID.Page system setting is hidden.

  1. Click the ID.Page question at the top of the questionnaire.
  2. Click the Show/Hide icon in the question toolbar. This shows the ID.Page variable.

Add the tabs

ID.Page is a single choice question, where each choice defines a tab. The option text gives the name of the tab.

Add an entry for each tab that you want. Enter the first tab name in the first answer choice, labelled “Code Label”, then press Tab to create and move to the next code label. 

Add page breaks to group the questions for each tab

When you have entered the tab names, use page breaks to group the questions that appear on each tab. 

The questions between the ID.Page question and the first page break will appear on the first tab, the questions between the first and second page break will appear on the second tab. Repeat this until you have created page breaks for all the tabs. 

Using the tabs in an interview

Respondents can select the tab to show the questions for that page or use the Next and Back buttons to move between tabs. They can complete any tab and do not need to complete the questions in the tab order shown.

If there are a large number of tabs, or you are using a smaller display, such as a smartphone, the tabs will wrap around to form multiple rows of tabs that you can select.

Adding a Tab Headers question

  1. Select the Tab Headers item from the Single Choice questions section of the Insert question menu.
  1. Insert a Tab Headers question into the questionnaire by double-clicking or by dragging the question to the questionnaire.
  1. Set the number of Choices to the number of tabs required.
  2. In Columns, enter the number of columns that you want the tabs displayed. This is usually set to 1.
  3. In the Tab Headers question text, enter the question.
  4. Click in each Option text and add the text for each tab header.

Adding questions to a tab using routing

Subsequent questions are associated with a tab using Ask this question if routing.

  1. Select a question that you want to display on a tab.
  2. Click the Routing menu then click Ask this question if icon. This opens the Manage pre-condition routing dialog.
  1. Enter the routing condition, which shows the question when the tab is selected. For example, selecting the Venue tab (number 4) displays the grid question Q17. Select Apply to all parts to apply the routing to all the grid rows.
  1. Click OK to save the routing.

When the respondent selects the Venue tab they will see the grid question.

Grid questions are a way of displaying multiple questions in a grid of rows and columns, with headings for each of the boxes presented across the page.

They let you gauge a respondent’s opinion on multiple things within the same question and are easy to analyse. This can help you quantify subjective sentiments such as satisfaction, experience, perception and loyalty. 

The Grid questions are versatile and can be used to create different types of questions, such as Likert, Rating or Matrix grid questions

Examples of grid questions

Likert

Likert scales are questions that contain a number of scales, often 5-point or 7-point scales. They ask respondents how much they agree or disagree with a statement. 

Rating

Rating grids are used to ask a participant to choose from multiple options scaled between two extremes, such as Unsatisfied to Satisfied. 

Matrix

Matrix questions are a way of displaying multiple questions, displayed in a grid of rows and columns, with headings for each of the boxes presented across the page.

Adding a grid question

  1. Select the Grid question from the Single choice questions section of the Insert question menu.

Inserting a variable field is a feature in online editions that lets you change text in your questionnaire based on the responses entered by the respondent. It is also called dynamic text, text substitution or piping. This provides a personalized experience as the respondent progresses through the questionnaire.

There are many uses for dynamic text:

  • change the question text based on the responses to previous questions
  • change the answer codes based on the responses to previous questions
  • customize instructions based on the responses to previous questions
  • insert system settings (paradata) including case number and interview date and time information

Inserting a previous response into the text

  1. Position the cursor in the text at the location where you require the variable field.
  2. Click Insert Variable Field from the toolbar. This displays the Snap Variable dialog.
  1. Complete the fields to define the variable field:
    • The Variable list contains all the variables and paradata for the questionnaire. Select the variable that you want to use.
    • In Aspect, select the type of text to insert. There are three aspects to choose from: Reply inserts the question response; Name inserts the question number and Inline Question inserts an inline question.
    • In Text Transformation, choose the case used to display the text: Normal, UPPER CASE, lower case, Sentence case, Title Case.
  1. Click OK. This displays the variable field inside brackets, for example, {Q2}. This is a placeholder that is replaced by the variable field when a respondent is answering the questionnaire.

A carousel is a way of displaying a group of questions. Each question is shown on a card with the answers and the carousel moves onto the next question automatically or manually by clicking navigation buttons. The respondent can navigate through all the cards to review their answers.

This question style is a great way of showing large grids on smaller screens as the respondent only sees one question row at a time. This helps ensure that the respondent does not miss a question row as they see one row at a time.

Adding a carousel

  1. Select the Carousel item from the Single Choice questions section of the Insert question menu.
  1. Insert a Carousel question into the questionnaire by double-clicking or by dragging the question to the questionnaire.
  1. For a Carousel question set the number of Choices to the number of answer choices.
  2. In Rows, enter the number of rows or aspects required.
  3. Change the Text width or Answer width to adjust the proportion of the width used for the text and answer sections of the question.
  4. In the Carousel question text, enter the question.
  5. Click in each Row text and add the text for each row.
  6. Click in each Option text and add the text for each answer choice.

Using images in carousel questions

Adding images to a questionnaire make it more engaging, helping to increase the responses. You can add an image to any question text.

  1. Place the cursor in the grid row text.
  2. Click the Insert an Image button on the Format toolbar. This opens the Image Browser dialog.

  1. Click the Choose an image button to select an image.
  1. The Select an image to insert dialog shows the available images. If this does not show your image, click the Choose file button to find and select the image.
  2. Select the image you want to insert and click OK. This takes you back to the Image Browser.
  3. Depending on the image selected, you can change the color using the Pick Color option.
  4. Depending on the web browser, you can resize the image using the Resize % option.
  5. Each image can be provided with a description in the Alt/Title text, which becomes the tool tip. The respondent see the alternative text when they are unable to see the image. Voice readers active on the browser will also read the text description.
  1. Click OK to save the changes. This inserts the selected image at the cursor location.

Repeat this for all answer choices in a question and increasing the number of columns to the number of choices produces a question with images shown across the page.

During the interview, the images are shown in each carousel card.

A compound grid shows multiple questions side by side when all questions share the same horizontal labels. This allows a grid to contain different question styles, such as grids, semantic scales and open series.

With this feature, you can create grids with rows that allow the respondent to select a choice, then add associated comments, dates, times or amounts, as part of the response.

Requirements

To combine the grids into a compound grid, they must:

  • follow each other in the questionnaire
  • not have page breaks between the grids
  • contain the same number of questions or rows
  • contain grids, semantic scales or open series.

The first grid or open series question sets the questions that are used for each row. You can add question text in subsequent grids but when they are combined in the compound grid only the question text from the first grid will be shown.

Compound the grid questions

  1. Create the first grid question, for example, a grid question asking about the respondent’s experience.
  1. Next, create the second grid question, for example, an open series question that has the same number of rows and the same row text.
  1. Select the second grid question, and click the More button.
  2. Click the Compound with grid above menu. This creates a compound grid with the two grid questions. The
  3. If you want to show the grids as separate questions, click the More button and select the Break from grid above menu.

The compound grid does not show in the Online Editor, only the individual grids are available.

When you test the compound grid appearance, you need to publish the questionnaire and launch a preview of the questionnaire.

Different Editions

In a survey that has multiple editions you will need to consider how the layout of the questionnaire will look for each edition during the live interview.

You must set up the compound grid for each edition. Editions used for smaller screens such as for a phone or tablet may not be suitable for larger compound grids.

Customising the compound grid

The appearance of each grid or open series can be customised individually. When the grids are combined in a compound grid, each grid is displayed with its own styling, including fonts and colours.

If you want to create a uniform grid with the same styling, customise each grid in the same way. Creating a question style for the compound grid helps make sure that all the grids have the same appearance.

Inline questions can be inserted into any text in the questionnaire. You can also show or hide them using routing. Using inline questions can give the questionnaire the flexibility to create forms, providing areas where the respondent can enter information.

Create the Inline Question

You need to create the inline questions as individual questions, before adding them to the main question. In this example, there is a single choice question asking “How you found out about us?” and an open ended question asking for a website.

The question that asks “which website” is added to the main question after the “Internet search” choice.

  1. Position the cursor in the text at the location where you require the inline question.
  2. Click Insert Variable Field from the toolbar. This displays the Variable field dialog.
  3. Complete the fields to define the dynamic text:
    • The Variable list contains all the variables and paradata for the questionnaire. Select the variable that will be the inline question.

Formatting inline questions

Inline questions use the formatting of the question, at the point of insertion of the Inline Question variable field. This results in an inline question that integrates with the question text.

As a result, the inline question may lose any of the original text formatting, such as, bold, italic, colour and size. The inline questions may also have their controls, such as boxes and text boxes resized for a better integration with the surrounding text or questions.

Adding a Date question

The Date question includes a calendar to easily select a date, or the respondent can enter a date in the response box.

  1. Select the Date question from the Text Input questions section of the Insert question menu.

  1. This selects the date pattern by default. If you want a different format, select the pattern from the drop-down.

This question style lets the respondent attach a file during an interview. When the respondent attaches the file, it is given a unique identifier that connects it to the particular question and response. When you receive the responses, you can downloaded them as zip files which contain either individual files, all the files, or files grouped by question or response.

Unit usage

Each attached file will use at least 1 unit, with up to 1MB counting as 1 unit.

For example:

  • a 0.4 MB file would count as 1 unit
  • a 7 MB file would could as 7 units

This is in addition to the unit usage for the completed response.

Creating an AttachIt – File question

  1. Select the AttachIt – File item from the Text Input questions section of the Insert question menu.
  1. Insert an AttachIt – File question into the questionnaire by double-clicking or by dragging the question to the questionnaire.
  1. This selects the literal pattern used for the file name, which you should not change.
  2. Change the Input width to adjust the width of the question’s response area.
  3. Change the Input height to the required number of lines of the response area, which will contain the file name.
  4. Click in the AttachIt – File question text area and enter your question text.

Testing the AttachIt question

The questionnaire must be published before the AttachIt feature can be tested.

  1. In Snap XMP Online, open the survey in Your work. In the survey’s Summary tab, click the Collect link.
  2. In Overview, click the Publish current version button to publish your survey. Click OK to confirm that you want to publish the survey

  1. The test starts with a notice stating that this is a survey preview and responses entered in the preview will not be saved and will not affect the survey results. Click the message” I understand – start the preview” to proceed.

  1. Click the Attach File icon. This shows a Select file dialog. Click Choose File to browse for the required file.

  1. In the file browser, select the required file and click Open. A unique reference is shown in the Select file dialog.

  1. Click Close. The unique ID now appears in the question response field. This identifies the attached file as this participant’s response to the question.

When you have tested the questionnaire, you are ready to start interviewing. When the participant is completing the questionnaire they will attach the file as described in steps 5 to 8.

Downloading the attached file responses

When participants have attached files to the response, these files can be downloaded from Snap XMP Online.

  1. In Snap XMP Online, open the survey in Your work. In the survey’s Summary tab, click the Collect link.
  2. In Collect, click Responses then click Attachments. The Attachments menu is only shown when there are attached files available.
  3. Click Download all attachments to download a compressed zip file containing all the attached files.

  1. Click the Response ID link to download all the attached files for the response. There may be more than one question with an attached file.
  2. Click the question link to download the attached files for that specific question or the attached file link to download an individual file.

Usage stats for AttachIt

In Snap XMP Online, you can see how many AttachIt units your account has used. The number of AttachIt units shows the number of attached files for the surveys running on your account.

  1. In Snap XMP Online, click Your Account.
  2. Click Usage to view the Usage statistics including the AttachIt units.
  3. In Show, choose the time range then click Refresh.

An open-ended question lets people enter the answer themselves. The most common use is to provide a large answer box where a participant can give their opinion using their own words: for example to the question: “How could we improve our product?”.

You can include a pattern that validates the response to the open-ended questions. This can be used to ask a participant to provide formatted information, such as an email address, phone number, or a date or time in the questionnaire.

The Open Series question style lets you create a grid of open-ended questions.

Adding an Open Ended question

  1. Select the Open Ended question from the Text Input questions section of the Insert question menu.

  2. Select the pattern from the drop-down. The pattern defines the format of the response.
  3. Set the Input height to increase the question’s response area to the required number of lines.
  4. Click in the Open Ended question text area and enter your question text.

  1. Select the Open Series question from the Text Input questions section of the Insert question menu.
  1. Insert an Open Series question into the questionnaire by double-clicking or by dragging the question to the questionnaire.
  1. Select the pattern from the drop-down. The pattern defines the format of the response.
  2. Change the Text width or Answer width to adjust the proportion of the width used for the text and answer sections of the question.
  3. In Input width, enter the percentage of the answer width for the response box.
  4. In Input height, enter the required number of lines in the response area to the required number of lines.
  5. Click in the Open Series question text area and enter your question text.
  6. Click in each Row text area to enter each row text.

Changing the pattern

The pattern selected defines the format of the data that the respondent should enter when they are completing the questionnaire. There are a large number of pre-defined patterns to choose.

In an Open Series question, you can select a pattern for all the rows by positioning the cursor in the question text or in the first row text or response box. If you want to choose a different pattern in subsequent rows, position the cursor in the row text or response box and select the pattern.

Often a questionnaire heading includes branding. This can be a logo or other image that is displayed by itself or with a title.

Adding a Logo

  1. Place the cursor where you want to insert the logo.
  2. Click the Insert an Image button on the Format toolbar. This opens the Image Browser dialog.

  1. The Select an image to insert dialog shows the available images. If this does not show your image, click the Choose file button to find and select the image.
  2. Select the image you want to insert and click OK. This takes you back to the Image Browser.
  3. Depending on the image selected, you can change the color using the Pick Color option.
  4. Depending on the web browser, you can resize the image using the Resize % option.
  5. Each image can be provided with a description in the Alt/Title text, which becomes the tool tip. The respondent see the alternative text when they are unable to see the image. Voice readers active on the browser will also read the text description.
  1. Click OK to save the changes. This inserts the selected image into the Title.

There are three types of question that provide text information in the questionnaire.

  • Titles provides the main heading that explains the purpose of the questionnaire.
  • Sub Titles provide headings that explain the purpose of groups of questions.
  • Instructions provide further text information, such as guidelines or details on how to fill in the questionnaire.

Add a Title

A questionnaire normally starts with a heading explaining the questionnaire’s purpose. The title can contain text and a logo or other image.

  1. To set the title text click in the Title text box.

In the Summary section of a survey template, you have the option to upload a thumbnail image. This can help users identify the survey template when they are creating a new survey.

  1. Select the survey template in Your work to display the Summary.
  1. Add a description that explains the purpose of the survey template, then click Save.
  2. Click the Upload thumbnail button to display the Upload thumbnail dialog.
  1. Click the Select file button to select an image. Here, the image has previously been created by copying part of the questionnaire.

Under the GDPR, all organisations must have a documented lawful basis for processing personal data. If you choose to use consent as the basis for collecting and processing survey response data, Snap XMP Online allows you to provide potential participants with the relevant information that they need to give informed consent, and to configure your survey to obtain the participant’s consent to proceed with the survey.

Participants choose whether to give consent by answering a specific question at the beginning of the survey.  If they choose not to provide consent they are prevented from completing the survey.

Provide potential participants with the relevant information

You need to ensure that the consent that you obtain from participants is ‘informed’, meaning that participants have been given ‘fair processing information’ and have been informed of all aspects of the survey project that are relevant to their decision to participate. This is commonly done by providing potential participants with a privacy or information notice. You can present this information by including it in the instruction question type field at the start of your survey. You have the option of providing this information in a layered format by providing a summary of the essential information in the instruction question type field, followed by a link to your full privacy policy or notice for more detailed information. Snap Surveys provides a link to the Snap Surveys’ Privacy Policy; available at https://www.snapsurveys.com/survey-software/privacy-policy-uk/. This provides information as to how we act as your data processor.

Worksheet example

In this worksheet example, the question and text are an example of simple wording that may be used as part of the process of gaining consent to the collection of the survey response data and processing it for the purposes of the survey itself. You can set the question and the explanation to include whatever information you as data controller consider appropriate for your survey, the type of data that you propose to collect, and the uses that you propose to make of the survey response data.

For example, where special categories of personal data will be collected (e.g. gender and ethnicity data) and explicit consent is required, you may wish to include specific wording to make it clear that the participant is willing to provide such information. If you plan to use the response data for other purposes beyond the survey itself, you may also set multiple consent questions, to separately obtain consent for each of them.

Create a Multi Choice consent question

  1. In Your work, open your survey.
  2. In the Summary tab, click on the Build link. This opens the Online Designer where you can build and edit your questionnaire.
  3. Click in the first question then double click the Multi Choice option to insert the consent question. You may also use drag and drop or Ctrl + Enter.
  4. In the area marked Enter Multi Choice question text, enter your consent request text.

  1. Double click the Page Break option in the side menu. This inserts a page break before the consent question and also between the consent question and any following question. You may also use drag and drop.

Set the question as a mandatory response

  1. Select the consent question and select the Validation & Masking option in the side menu.
  2. Select the Mandatory checkbox to make the question mandatory.

Test the survey

  1. In the Online Designer, click Preview. The preview opens a new browser window displaying the questionnaire as it would look if it after it has been published. Use this previewed survey to test that your consent question behaves accordingly

  1. Check that the consent question appears on a page by itself. The respondent must answer the question before they can complete the rest of the survey.

Keep a record of consent

  1. In Snap XMP Online, select the survey and in the Summary tab click the Collect link.
  2. Select the Responses option in the side menu.
  3. Select the Responses in the list of options.
Download the data responses to an export file
  1. You can export the survey response data by clicking the format, Excel, CSV or TSV, that you want to download.

Survey templates are used as the starting point when creating a survey in Snap XMP Desktop and Snap XMP Online. A number of pre-defined survey templates are provided including the default Blank Template. You can also create additional online templates in Snap XMP Desktop.

  1. In Snap XMP Desktop, open the Survey Overview window.
  2. Click OnlineSurveysIcon.png to view the Online Surveys.
  3. Select the survey that will be the basis of your survey template.

  1. Select File|Save as Template to display the New Online Template dialog. A default survey template name and folder are entered in the dialog. You can change these before saving. In our example the name is “Conference survey template” and the location is “Demo Folder”.

  1. Click the Select file button to select an image. Here, the image has previously been created by copying part of the questionnaire.

This displays the thumbnail image on the template page. The thumbnail image is shown on the survey template list when creating a new survey.

Click Remove thumbnail image to clear the image, or prior to replacing the thumbnail image.

What is masking?

As part of your survey you may want to ask questions that follow on or rely on answers given in previous questions. Masking is used to pass on answers from a question that will provide information for use in subsequent questions.

Masking can make the questionnaire easier to answer by showing the respondent a shorter list of answers that are relevant to them.

In cases where only one answer is left then the question can be automatically answered. This reduces the length of the questionnaire for the respondent.

Adding a mask to your question

  1. Select the question that requires masking. Masking is available on Single Choice and Multiple Choice questions.
  2. In the Build side menu select the Validation and Masking side menu.

  1. Click in the Mask field to enter a mask expression for the question.
  2. You can use any logical expression.

Automatically answering a question

The Auto-answer feature can be set on questions with masking. When there is only one possible response to the question, it will be answered automatically and the questionnaire will move on to the next question.

  1. Select the question that you would like to be automatically answered.
  2. Select the Validation and Masking side menu.
  3. Go to the Masking section.
  4. Tick the Auto-answer field to turn auto-answer on for the selected question.

The validation includes:

  • making a question mandatory , where the participant must answer it
  • setting the maximum length for a free format text answer
  • adding a pattern, such as a date or email address, that the answer needs to match
  • setting a minimum number of answers for multiple response questions
  • setting a maximum number of answers for multiple response questions
  • setting the ordering of the code values with the ability to exclude some codes from the ordering
  • setting an initial value for a question
  • making a question read only

Making a question mandatory

 When the Mandatory box is ticked the respondent must give an answer to the question asked. The Mandatory option is available for all question types.

You can set the minimum number of answers for multiple response questions. This feature is set in the Validation and Masking side menu.

The Mandatory option needs to be set on before the Min answers drop down list is enabled.

Select the Min answers from the drop down list. Here the minimum number of answers is 1.

You can set the maximum number of answers for multiple response questions. This feature is set in the Validation and Masking side menu.

Select the Max answers from the drop down list. Here the maximum number of answers is 2. The respondent can choose up to 2 answers for this question.

Making an answer mutually exclusive

A mutually exclusiveanswer can only be selected on its own. This can be used when there are several answers to choose from alongside answers such as, “Other” or “Don’t Know”. If these answers are selected by the respondent you may want to deselect or prevent the other answers being selected. This can be done by setting an answer to be mutually exclusive.

  1. Select the question that you would like to set with a mutually exclusive answer.
  2. Select the Validation & masking side menu.
  3. Go to the Mutually-exclusive options.
  4. Select the box next to the answer or answers that are mutually exclusive.

  1. Selecting a mutually exclusive code in a multiple response question will clear all other codes. If you select another code after a mutually exclusive code, then the mutually exclusive code is cleared.

Ordering

To avoid any interview bias, it is possible to rotate or re-order the codes of a question. The codes are re-ordered each time the question is shown in an interview, according to the ordering option selected.

During the interview the question codes are re-arranged in the specified order. The code numbers remain the same and the response is recorded against the correct answer code.

The available ordering options are

  • None: the codes are always presented in the order shown.
  • Inverse: the codes are presented in reverse order in successive interviews.
  • Forward: the codes move forward on successive interviews.
  • Random: The codes are randomly re-arranged for each interview.

You can set ordering in the Validation and Masking side menu in the Build tab.

  1. Select the question that you wish to order
  2. Select the Validation & masking side menu.
  3. Go to the Ordering option.
  4. In Method select the type of ordering.
Ordering methods available

Excluding codes from the ordering

There is often a requirement to leave some codes in their original positions, for example, when the question contains a code such as “Other” or “None of the above”. These codes are usually displayed at the end of the list of choices. You can exclude final codes from the ordering by specifying the code value(s) to exclude in the Exclude field. This can be a single number or a comma separated list, but must include the final code.

You can exclude codes in the Validation and Masking side menu in the Build tab.

  1. Select the question where you wish to exclude codes.
  2. Select the Validation & masking side menu.
  3. Go to the Ordering option.
  4. In Exclude enter the code or codes to exclude from the ordering.

For example, a question has 6 codes with “None of the above” as the last code. In Exclude, enter 6 to exclude the final code. When the question is shown in an interview, code 6 will remain in its original position and codes 1 to 5 will be ordered randomly.

Initial Value

An initial value can be set for a question. This value is selected or displayed in the question when a participant is completing the questionnaire. The Initial Value field can be set to a code, literal constant or an expression using values from the preceding questions, depending on the question style.

The initial value is set in the Validation and Masking side menu in the Build section.

  1. Select the question where you wish to exclude codes.
  2. Select the Validation & masking side menu.
  3. Go to the Initial Value option.
  4. In Value, enter the code, literal or expression.

For example, in a single choice question enter 1 to select the first code.

For an example on how to set the initial value using an expression a questionnaire is set up with Q2 is an Open Series question asking for the number of adults and children in a group of people at a restaurant and Q3 is an Open Ended question asking how many people in the party ordered food. Usually everyone orders food so the default for Q3 is the total number of people in Q2. InitialValue2.PNG

Select Q3 and in Value, enter the expression Q2a + Q2b so the initial value in Q3 defaults to the total number of people entered in Q2.

Read Only

When a question is set as Read only this prevents the participant from answering or overwriting that question during an interview.

The read only property may be used where:

  • the question is seeded with values from a participant database that you do not want the participant to change
  • the question contains an initial value that is based on answers to previous questions in the survey that you do not want the participant to change

You can set a question as read only in the Validation and Masking side menu in the Build section.

  1. Select the question where you wish to exclude codes.
  2. Select the Validation & masking side menu.
  3. Go to the Initial Value option.
  4. In Read only, select Yes to prevent the participant from changing the question, or No to allow the participant to edit the question.

In your questionnaire you often want to ask certain questions to specific groups of respondents rather than all respondents. This is usually based on the answers they have already selected in previous questions.

 Question routing sets up the questionnaire so respondents are only asked questions relevant to them during completion. Questions that are not relevant to them are skipped. You can set up the routing rules in the Routing side menu in the Build side menu in the Online Designer.

There are three types of routing rules that can be used in a Snap XMP Online questionnaire.

  • Ask this question if – the question is only asked if a specific answer or answers have been given to a previous question.
  • After this choice go to – this will forward the respondent onto the next relevant question regardless of the answer given.
  • After this question go to – the next question that is asked is dependent on the answer selected.

Ask this question if routing

Questions with this type of routing are only asked if a specific answer or answers have been given to a previous question. Before this question is asked, Snap XMP Online checks that the routing conditions are met. If the conditions are met the question is asked, otherwise it is skipped.

There are 3 restrictions for this type of routing

  • only one such rule is allowed per question
  • the rule can reference more than one question
  • the rule can only reference previously asked questions on the questionnaire

Steps to follow when setting up the routing are

  1. Select Routing in the side menu. This is underneath the Insert question menu.
  2. Select the Edit Routing icon icon on the Ask this question if item.
  3. This shows a Manage pre-condition routing window where you can enter the routing relationships.

  1. There is an expression entry for every section or row in the question. In this example, Q6 is the Multiple Choice section and Q6a is the Other response section.
  2. Add a routing expression for the question. Further details on routing rules can be found in Routing rules expressions.

This routing will direct a respondent to the next relevant question within the questionnaire irrespective of the answer given in the current question.

This type of routing is available for Multiple Choice, Single Choice and Drop down questions. This routing is usually used with single response questions. If a multiple response question has “After this choice go to” routing on several codes going to different question numbers, then the routing will go to the question furthest down the questionnaire.

Steps to follow when setting up the routing are

  1. Select Routing in the side menu. This is underneath the Insert question menu.
  2. Select the Edit Routing icon icon on the “After this choice go to” routing item.
  3. This shows a Manage go-to routing window where you can enter the routing relationships

  2. Click OK to save the changes.

Showing Routing

Routing can be hidden or displayed in the questionnaire when it is used for interviewing or printed on paper. This setting is in all the Manage routing dialogs which appear after clicking the Edit Routing icon routing icon.

Show the routing icons on the questionnaire

The 3 options available are:

  • Paper only – routing is shown on paper questionnaires, but not other publication methods.
  • Always show – routing is always displayed on the questionnaire in all publication methods.
  • Never show – routing is not shown on the questionnaire in any form of publication method.

If questions are moved around after routing rules have been set up, the routing will automatically be updated with the new question numbers.

Viewing the question relationships

The Routing side menu shows the routing rules and relationships that have been applied to the selected question.

The Routing menu shown below has no routing applied and is the default when adding a question into a questionnaire.

The following menu has some routing applied. In each section of routing you can see the routing expressions that are applied on the selected question, which is Q6 in this example.

The question has

  • Ask this question if routing on Q6 which uses the answer for Q5. Q5 is listed as a Source in the Relationships section.
  • Ask this question if routing on Q6a which is shown when the Other response is chosen
  • After this choice go to routing where the target is Q8 when the Solution Desk answer is selected. Q8 is listed in Dependencies in the Relationships section.

The text attributes that can be changed are

  • Font
  • Font size
  • Bold, italic and underline formats

In the Build section you can change the text by

  • Selecting the text you want to update and then updating the text attributes.
  • Change the text attribute and the text entered from the current cursor position will be updated.

Changing the colour

The colour of the text fields can be changed. This includes the question and code labels.

When a text item is selected the Formatting toolbar is enabled.

The colour can be changed for

  • Text
  • Background

In the Build section you can change the colour by

  • Selecting the text you want to update and then updating the colour.
  • Change the colour and the text entered from the current cursor position will be in the new colour.

Changing the spacing

The spacing on grid style questions, such as a Grid and Open Series question, can be adjusted for each question.

The area of the question is split between the Text area and the Answer area.

In a Grid question the Question toolbar has two fields that control the question spacing, the Text width and Answer width. You can change the amount of space that each area occupies by altering the Text width or Answer width percentages.

In an Open Series question the Question toolbar has three fields that control the question spacing, the Text width, Answer width and Input width. Changing the Text width and Answer width alters the ratio of the areas in the same way as the Grid question. The Input width is the percentage of the Answer width that will be used for the answer text box width.

The total percentage of the Text width and the Answer width must always add up to 100%. The minimum width is 1% and the maximum width is 99%.

Showing or hiding a question

Some questions are only applicable for certain media. For example, you may want to show different information in a paper edition to a web edition. This can be achieved by managing the visibility of the question.

There are two ways to show or hide a question.

Current Edition

  1. Click on the question to show the Question toolbar.
  2. The visibility can be changed on the Question toolbar. This question is visible.

  1. Click Shown icon icon to hide the question.
  2. The question is shown as hidden. Click on the hidden question to show the toolbar again.
  3. The icon changes to Hidden icon which shows that the question is hidden.
  4. Click Hidden icon again to make the question visible.
  5. This changes the visibility of the question in the current edition.

All Editions

  1. Click on the question to show the Question toolbar.
  2. Click the More menu on the Question toolbar and click the Manage Visibility item.
  3. This shows the Manage Visibility dialog.

Sometimes as you are working you may make a mistake. You can use the Undo function to undo your last action editing the questionnaire. Redo allows you to redo the previously undone action.

The Undo and Redo buttons are located on the Online Designer menu.

  • Click the Undo button to cancel your last action. The Undo count will decrease by 1 and the Redo count will increase by 1. When the Undo count is 0 the Save button is greyed out.
  • Click the Redo button to redo the previously undone action. The Redo count will decrease by 1 and the Undo count will increase by 1.

There are some actions that you cannot undo, such as saving the questionnaire.

Now the questionnaire is complete you can test it to ensure no errors have been made in the design process. You can enter test cases into the questionnaire to check that the questions, routing, validation and look of the questionnaire behave in the way you want.

You should test all aspects of your questionnaire.

  • Check the format of each question. For example, the font and text colour.
  • Test the question response for every question. For example, if you have set up a question that allows more than one answer check that you can enter multiple answers. If you have a question that requires a single answer, check that you cannot enter multiple answers.
  • Test the routing of the questionnaire to make sure that the correct questions are displayed according to the responses given. For example, check that the Other response text box is displayed when the associated choice is selected in a Multiple Choice question.
  • Test the validation. For example, check that the correct number of characters can be entered.
  • Test the patterns. For example, check that a valid email address can be entered when the question’s pattern is set to email address and an invalid one cannot.

If you make any changes to the questionnaire, you should repeat the testing process.

First, the questionnaire has to be published in Snap XMP Online.

Publishing your survey for the first time

Your questionnaire is now ready for publishing. The publishing process creates web pages that run a survey in a web browser. When the Collect tab is selected the Overview is shown by default. This shows the status of the survey and is where you publish the survey.

  1. Click the Collect tab and go to the Overview section.
  2. Click the Publish current version button to publish your survey.

  1. You will be asked to confirm that you want to publish. Click OK to publish the survey.

When you have published your survey the Overview now displays further information with sections for

  • Overview displays the current survey status.
  • Paper Interviews contains a PDF download.
  • Web Interviews shows the details for online interviewing.

Publishing an updated version of your survey

Sometimes you will need to change a questionnaire after it has been published. The updated questionnaire needs to be republished to ensure that the respondents are completing the latest version.

  1. From the Collect section navigate to the Settings side menu.
  2. In the Overview heading a warning message is shown when the questionnaire has been changed after it was last published. This means that the latest questionnaire is not the same as the published questionnaire that the respondents are currently completing.

  1. Interviewing needs to be paused before the survey can be published with the latest questionnaire. Click Pause interviewing.
  2. The interviewing is now paused and you can see the Publish current version button. Click on the Publish current version button to publish the latest version of the questionnaire.
  3. After you have published your survey’s latest version the message indicates that the most recent version of the survey is being used for interviewing. Click Resume interviewing to restart the interview process.

Previewing the published survey

Previewing the published questionnaire allows you to check how the questionnaire appears in the web browser, enter a number of test responses and try out the routing and validation. These test responses will not be saved or affect the survey data responses.

You can test the published survey

  • prior to starting interviewing
  • after interviewing has started when the survey is live
  1. From the Collect section navigate to the Settings side menu.
  2. Scroll down to the Web Interviews heading, if necessary.
  3. Click the Launch preview button. This opens the questionnaire in a new web browser tab.
  4. This starts with a notice that this is a survey preview and responses entered in the preview will not be saved and will not affect the survey results.
  5. Click the message” I understand – start the preview” to proceed.
  6. The preview starts the currently published questionnaire, and you can enter some test responses to check your questionnaire.
  7. If you need to make any changes, you can update the questionnaire and publish it again.

Once you have completed your questionnaire, you can test it to make sure there are no errors in the design process. You can preview the questionnaire to check that the questions, routing, validation and look of the questionnaire behave in the way you want.

First, publish the questionnaire in Snap XMP Online.

Publishing your survey for the first time

Your questionnaire is now ready for publishing. The publishing process creates web pages that run a survey in a web browser. When the Collect tab is selected the Overview is shown by default. This shows the status of the survey and is where you publish the survey.

  1. Click the Collect tab and go to the Overview section.
  2. Click the Publish current version button to publish your survey.

  1. A message asks you to confirm that you want to publish. Click OK to publish the survey.

When you have published your survey the Overview now displays further information with sections for

  • Overview displays the current survey status.
  • Paper Interviews contains a PDF download.
  • Web Interviews shows the details for online interviewing.

Publishing an updated version of your survey

Sometimes you will need to change a questionnaire after publication. You need to publish the questionnaire again to ensure that the respondents complete the latest version.

  1. From the Collect section navigate to the Settings side menu.
  2. The Overview heading displays a warning message if there are changes to the questionnaire after it was the last publication. This means that the latest questionnaire is not the same as the published questionnaire that the respondents are currently completing.

  1. You need to pause interviewing before publishing the survey again with the latest questionnaire. Click Pause interviewing.
  2. The Publish current version button is available after pausing interviewing. Click on the Publish current version button to publish the latest version of the questionnaire.
  3. After publishing your survey’s latest version, the message indicates that the most recent version of the survey is being used for interviewing. Click Resume interviewing to restart the interview process.

Previewing the published survey

Previewing the published questionnaire allows you to check how the questionnaire appears in the web browser, enter a number of test responses and try out the routing and validation. These test responses will not be saved or affect the survey data responses.

You can test the published survey

  • prior to starting interviewing
  • after interviewing has started when the survey is live
  1. From the Collect section navigate to the Settings side menu.
  2. Scroll down to the Web Interviews heading, if necessary.
  3. Click the Launch preview button. This opens the questionnaire in a new web browser tab.
  4. This starts with a notice that this is a survey preview and responses entered in the preview will not be saved and will not affect the survey results.
  5. Click the message” I understand – start the preview” to proceed.
  6. The preview starts the currently published questionnaire, and you can enter some test responses to check your questionnaire.
  7. If you need to make any changes, you can update the questionnaire and publish it again.

Once you have created your new survey, Snap XMP Online displays the Build section of the questionnaire where you design your questionnaire.

Inserting a question

When you create a questionnaire, some questions may be automatically added depending on the template chosen. The Insert question menu shows the list of question styles that you can include.

Once you have selected a question style from the Insert question side menu, there are two ways to insert a question.

  • Double click

This will insert the new question after the currently selected question in the questionnaire. If no question is selected, the new question is inserted at the end of the questionnaire.

  • Drag and drop

As you drag the question over the questionnaire you will see a Drop here message that shows you where the question will be placed.

Question Toolbar

When you select a question in the Online Designer, you will see the Question toolbar that lets you edit the question. The information shown on the toolbar depends on the question style selected.

You can see the type of question in the drop down on the Question toolbar. The example below is a Single Choice question.

MoveMove the question to another position in the questionnaire. Choose where to paste the question by selecting the relevant paste button. Click Abort Paste on the Questionnaire edit menu bar to cancel the operation.
Copy
Copy the question to another position in the questionnaire. Choose where to paste the question by selecting the relevant paste button. Click Abort Paste on the Questionnaire edit menu bar to cancel the operation.
Manage visibility
Display the Manage visibility dialog where you can set whether the question is shown or hidden for all the available editions.
Show other response
This is available for single-choice or multiple-choice questions. When you click this, it inserts a label and a text input field that allows the respondent to enter free format text. This allows the respondent to enter an answer that is not included on the list.
Show footnote/
Hide footnote
Toggle the footnote to show or hide. The footnote is shown below the question and can contain additional information to the question.
Compound with grid above
Available when there are two consecutive grid questions that can be merged to create one compound grid.
Reset all grid rows to default style
Remove formatting on the grid and return it to the default style. This does not alter other changes such as number of Options or Rows.

A new survey is created in Your work. You can create the survey in the top-level folder called Owned by you or any other folder. It may be easier to manage your surveys, if they are in an easily identifiable folder. You can move the survey to another folder using drag and drop in the Your work side menu.

  1. Starting in Your work, select the folder where you want to create the new survey.
  1. Click on the New Item button in the Summary page.

This shows a list of one or more survey templates to choose from.

Selecting a survey template

The survey template creates an initial layout for your questionnaire, which can include questions, formatting and your organisation’s branding.

Snap XMP supplies a number of pre-defined survey templates. The survey templates are organised in groups of similar templates. Survey templates that are specific to your organisation are available in the Your templates group.

  1. Select the survey template group to view the available survey templates. When the list opens, it shows the group you selected last.
  1. Select the survey template you wish to use. If you need help finding a survey template, hover over the template icon to see an enlarged image.
  1. Click Next, then in Survey name, enter a name for the new survey.
  1. Click the Create survey button. This creates the survey and opens it in the Build section ready to start building your questionnaire.
